Rules of Participation for Makers and Commercial Exhibitors

  1. Application and participation to the Maker Faire Trieste 2024 is free for all those who want to show and tell their projects (henceforth called makers) during the days of Saturday 31 August and Sunday 1 September, 2024, in the location of “piazza dell’Unità d’Italia” in Trieste. Makers will also be able to hold talks, offer hands-on workshops, scientific laboratories or artistic performances, under their personal responsibility and following all obligations and modalities specified by public rulings at the time of the event. Maker Faire Trieste is independently organized and operated under license from Make: Community, LLC.
  2. The organisation of the Maker Faire Trieste is by the Abdus Salam International Centre for Theoretical Physics (ICTP) and the Comune di Trieste, henceforth called “the organisers”. The Maker Faire Trieste is partially funded by the Regione Autonoma Friuli Venezia Giulia (Avviso pubblico per iniziative progettuali riguardanti manifestazioni di divulgazione della cultura scientifica 2024).
  3. All interested are invited to apply before noon of July 29th, 2024; the acceptance of applications rests solely with the Selection Committee (established by the organizers) and will be communicated to applicants as soon as possible. For technical reasons, it is required to fill a separate application form for each of the proposed projects, but multiple accepted projects will be registered only once. All accepted projects will be immediately published on the official website and through the social media channels, but proponent’s personal data will not be made public if not specifically stated. The decision of the Selection Committee is final.
  4. The acceptance of an application does not grant any reimbursement of costs incurred by the participants (such as travel/accommodation expenses, exhibition or other), which have to be covered by the participants themselves, except when a specific financial support is explicitly granted by the organisers. Before the event, accepted participants will be required to sign for acceptance a copy of these Rules and a Declaration of Responsibility.
  5. Companies, associations or legal entities of any sort, including private individuals, who wish to participate to showcase, demonstrate and promote their commercial products, projects or activities but without selling anything to the public during the event, are invited to apply as maker (for free and as detailed in the previous paragraphs).
  6. Companies, associations or legal entities of any sort, including private individuals, who wish instead to sell their products during the event, are invited to apply as “commercial exhibitor“, a category of participants different from makers, while at the same time submitting and obtaining a “Segnalazione Certificata di Inizio Attività (SCIA) – Certified Notification of Activity Start” for an “attività di vendita su area pubblica in occasione di manifestazione temporanea – selling on public area during temporary event” through the portal SUAP (Sportelli Unici per le Attività Produttive – Unified Portal for Production Activity) of Trieste Municipality at the address: https://suap.comune.trieste.it/ . They should also comply with all requirements stated by the Italian Tax Agency (Agenzia delle Entrate) for all legal and fiscal rules regarding sales activities. A copy of such authorisations should be send by email to the organisers prior of the event. Sales activities will only be permitted during the official opening hours of the event.
  7. In case of acceptance commercial exhibitors will be required to contribute to the event in one or more of the following ways (to be agreed in advance with the organizers): donation of products to makers, donation of products for the prizes to be given to makers, contribution to services offered to makers (catering, etc).
  8. Each accepted maker and commercial exhibitor shall obey to all obligations and modalities specified by public rulings at the time of the event, and he/she should be informed about such public rules and follow them at any time during the event, and shall also follow common sense and public decency.
  9. Makers and commercial exhibitors are not permitted to offer (for free or not) any food or beverage to the public. Sale of other products during the event will not be permitted to the makers, but only to the commercial exhibitors.
  10. The booth offered to makers and commercial exhibitors will normally consist of: a wooden hut (alone or with other makers) or a space with one or more tables and chairs under a big tend shared with other makers, with movable walls. Both options will have an electrical outlet (single Schuko, 1000W maximum load) and electrical lighting. No access to WiFi networks will be provided.
  11. Each accepted maker (commercial exhibitors are excluded) will get a “MAKER” t-shirt (to be worn for the whole event) and free meal coupons (to be used in selected nearby cafes, etc). The number of t-shirts and meal coupons may be decreased for large groups (with more than 5 members), according to availability and upon decision of the organisers.
  12. Requests that go beyond the minimum configuration listed above should be motivated in the application form and cannot be taken for granted, they will be considered by the organisers within the available resources. It will be possible (upon request or by decision of the organisers) to use open shared spaces, according to the logistic needs of the moment.
  13. Winners for the categories “Lady Maker” and “Maker Faire Trieste”  will be selected among the makers. Other awards may be also established by the organisers.
  14. The organizers will provide dedicated spaces under one or more tents that can be used for workshops, seminars and so on; therefore, makers and commercial exhibitors who wish to offer talks/courses/tutorials or artistic performances are invited to specify it in the application form and to agree such activities with the organises.
  15. Booths arrangements and positions will be determined by the organisers, considering the needs of all participants, and published on the official map as soon as possible. In case of need the organisers can change the location of the booths and the duration of the activities at the booths.
  16. Makers and commercial exhibitors are requested to be present for the whole duration of the event (Saturday and Sunday), or to inform promptly the organizers if they are unable to do so.
  17. Vehicular access is never allowed within the area of Piazza dell’Unità d’Italia. Registered makers and commercial exhibitors will be able to load/unload their stuff, following the Italian laws (Codice Stradale), momentarily halting their vehicles on selected locations on neighbouring streets during specified time slots (details will be communicated in advance). The organisers are working to find appropriate solutions for free parking near the event venue. Movement of vehicles near the booths will not be allowed while the faire is open to the public, with the only exceptions of emergency and police vehicles.
  18. Any damage to persons or property shall be borne by the accountable participants. Any activity that could be potentially dangerous to the public or to the makers/exhibitors themselves must be expressly authorized in advance by the organizers, and activities should be performed following all obligations and modalities specified by public rulings at the time of the event. There will be a staff of volunteers, coordinated by the organizers and clearly identifiable by their t-shirts. They will assist and supervise the makers and commercial exhibitors, who are expected to cooperate fully with them.
  19. In case of force majeure the event may be postponed or canceled by the organizers; the event will not be modified in case of rain or “not extreme” bad weather.
  20. The makers coming from outside the Trieste province, needing an accommodation to stay overnight, can ask to be accommodated for free on the nights of Friday 30, Saturday 31 August and/or Sunday 1 September, with costs covered by the organizers; since the availability of such free accommodations is rather limited we invite the makers to submit their application form as soon as possible. The requests of free accommodation will be considered following the order of submission, up to the maximum capacity available.
  21. The makers and commercial exhibitors are aware that the organizers, MAKE, Maker Faire, Make Community respect their privacy and not disclose their personal information. The policy regarding the privacy of MAKE is available in English at this address: https://make.co/terms-and-privacy-policy/.
  22. The makers and commercial exhibitors are also aware that by submitting their application request they accept these Rules of Participation and they consent to share their contact and all information provided on their project/stand/performance with MAKE Community for editorial purposes and with the organisers for event promotion and communication purposes, including the publication in the official catalogue and on social media channels.
